The Retail Operations Coordinator is responsible for the daily operations of the ICA Store including: inventory receiving and reporting as well as retail administrative duties, expense management, and account/customer service relations. Under the supervision of the Director of Retail, the Retail Operations Coordinator/Assistant Buyer implements the strategic direction of the ICA’s merchandise buying plan and sales goals. This position is required to work on site.

Responsibilities:
- Oversee day-to-day operations and inventory management, including receiving all new product into the store system, overseeing returns to vendors, and updating the database
- Reconcile and prepare invoices for accounts payable
- Manage all consignment vendors and payments
- Interface with finance staff regarding payments and reporting
- Partner with Retail Floor Supervisor in conducting periodic category inventories
- With Director of Retail, assist with annual fiscal year inventory count and prepare the reporting for Finance
- Assist Director of Retail in the identification of new product lines and purchase of new merchandise
- Assist with merchandise orders/re-orders, maintaining store displays, and providing basic administrative support to Director of Retail
- Assist in the development of special products related to exhibitions and museum branding, as well as artist limited editions
- Assist Director of Retail in creating product presentations for project meetings
- Assist Director of Retail in all facets of ICA Publication responsibilities including administrative oversight of shipping, receiving, accounting, and reporting
- As needed, assume responsibility for store opening and closing and proper accounting of all sales activity, shrinkage/theft control, and customer relations
- Ensure compliance with the ICA’s policies and procedures
Sales:
- Work in the store one weekend day per week to understand full business cycle
- Provide a high level of customer service to store visitors
- Reconcile the cash drawer at the end of the day; perform closing reports
- Keep current on all merchandise and store trends
- Keep informed about the museum’s exhibitions and programs offered
Qualifications:
- Experience with a retail point of sale system, Shopify POS a plus but not required
- Experience with receiving merchandise and processing invoices
- Proficiency with Microsoft Office suite (Word, Excel)
- Possess the ability to problem solve and communicate clearly and concisely
- Possess excellent interpersonal skills and remain calm under pressure
- Basic Photoshop and design skills preferred but not required
- Organized and possessing strong attention to detail
- Ability to multi-task and excel in a fast paced environment
- Ability to work collegially, professionally, and collaboratively with a diverse group of constituents including staff, visitors, and vendors
- Available to work one day on weekend
Physical Requirements:
- Prolonged periods of remaining stationary working on a computer, standing, and/or moving about in the museum store
- Must be able to lift up to 30 pounds
- Ability to move about in the office to access files, printers, etc.
- Must be able to exchange accurate information with other departments and with diverse and multigenerational staff and visitors

Starting Compensation: $43,000.00 Annually
Starting compensation is based on meeting minimum qualifications.
Each ICA position has a job grade based on the position’s evaluated job responsibilities, required education and experience, needed skills to perform the job, and professional knowledge. The position’s grade and respective compensation range is determined by the position’s overall responsibilities, including decision making, supervisory/management requirements, resource management and budgeting duties.
Compensation is ultimately determined by the scope of the position and responsibilities, the candidate’s relevant experience, and internal equity, with starting salaries typically falling in the lower half of the compensation range.
